Description

As a Project Coordinator and Administrator, you are responsible for supporting all aspects of the company’s vertical development and construction projects.

Through both office work, and site work as needed, the successful candidate will have a proactive approach to their tasks and a focus on providing excellent customer service and troubleshooting solutions in a busy, fast paced environment.

Roles & Responsibilities

·       Supports the Project manager(s) and other members of the vertical department as needed in day-to-day activities

·       Organize, maintain and action project correspondence and documentation

·       Create and maintain logs and tracking sheets

·       Attend project meetings as required

·       Interact with contractors and consultants

·       Assist in the development, planning, and execution of project documents

·       Assist in the preparation and distribution of RFPs (Request for Proposals)

·       Preparation of meeting agendas as required

·       Taking and distributing meeting minutes as required

·       Assist with the preparation of status reports

·       Assist with project closeout, including archiving documents, maintenance and warranty manuals, deficiencies, and warranty work

·       Review supplier invoices for valid coding and approvals, and follow up with development teams as required for verifications

·       Reconcile vendor statements and follow up to resolve any discrepancies

·       Respond to internal and external accounts payable inquiries

·       Ensure adherence to, and help develop internal controls and policies

 

Qualifications

·       Minimum 1 to 3 years related experience - Relevant multi-storey, cast-in-place development/construction experience is an asset

·       Construction related schooling or training is an asset

·       Familiarity with construction processes, documentation and change management

·       Must possess a proactive attitude along with tact, diplomacy, and the ability to maintain confidentiality

·       Ability to communicate (written and oral) clearly, with all levels of management, vendors, consultants and clients

·       Must be highly organized, with an ability to manage multiple tasks at once, set priorities, and meet deadlines

·       Must be responsible, self-motivated, detail oriented

·       Ability to work effectively in a team environment or on your own

·       Strong computer skills including experience with Microsoft Office software with emphasis on Word, Excel, Outlook

·       Experience with Reflex software is an asset
